Privacy Policy

This policy explains what ChatCrew (chatcrew.ai, a product of 2036studios, Sydney, Australia) collects, why, where it lives, and the choices you have. We aim to collect the minimum a business workspace needs to run.

What we collect

  • Account details: your email address and a hashed password.
  • Workspace content you create: projects, tasks, contacts, deals, quotes, invoices, calendar events, chat messages, uploaded files, and the knowledge you write for your website agent.
  • Crew run records: for every piece of AI work, the model used, tokens, credits charged, and the step-by-step log that makes the work auditable.
  • Website agent conversations: what visitors type to the chat bubble on your site, and the contact details they choose to leave.
  • Billing records: plan, purchases, and credit ledger. Card details go directly to Stripe; we never see or store card numbers.
  • Operational basics: send logs for the emails the service delivers on your behalf, and rate-limit counters that keep the service healthy.

Where it lives

Workspace data is stored in Postgres in Sydney, Australia, isolated per workspace with row-level security: only members of a workspace can read its data. Public quote and invoice pages are reachable only through unguessable token links and are excluded from search engine indexing.

AI processing

When a crew member works, the specific records that run needs (for example the task it is working and the files attached to it) are sent to the AI model provider powering the run (Anthropic or OpenAI) to produce the result. Models see only what the run needs, never your whole database, and every run is receipted so you can see exactly what was shared.

Service providers

We use a small set of processors to run the service: Supabase (database and authentication), Vercel (hosting), Stripe (payments), Anthropic and OpenAI (AI models), the 2036studios platform (voice and image generation), and Namecheap Private Email (email delivery). Each receives only what its job requires.

Emails

The service sends transactional email: account confirmation and password emails, team invites, documents you choose to email to clients, and crew-drafted emails you explicitly approve. We do not sell your data or send marketing email without consent.

Cookies

We use the cookies needed to keep you signed in and to remember your active workspace. There are no advertising trackers on chatcrew.ai.

Your rights and choices

  • Export: ask for a copy of your workspace data at any time.
  • Deletion: ask us to delete your account and its data; we honour it, keeping only what payment law requires (Stripe records of past transactions).
  • Access and correction: most data is directly visible and editable in the product; for anything else, ask.

Requests go to hello@chatcrew.ai from the email address on your account. We handle personal information in line with the Australian Privacy Principles.

Data on behalf of your business

Contacts, leads, and website agent conversations in your workspace are collected by you, for your business; you are responsible for having the right to store and contact those people. We process that data on your instructions and never use it for our own marketing.

Changes
